SMS Privacy Policy — Bella Trio Team Only

This Privacy Policy explains how Bella Trio Inc, doing business as Bella Trio Salon and Spa, collects, uses, and protects personal information in connection with its internal team communications program, including text messaging (SMS) sent to Bella Trio staff.
Participants in the Bella Trio SMS Program receive approximately one (1) to four (4) informational text messages per week; message frequency may vary based on operational needs. Message and data rates may apply from your mobile carrier. You can reply STOP at any time to opt out, or HELP at any time for assistance.

2. Information We Collect
Bella Trio collects only the personal information needed to run its internal team communications program. This includes:
Employee or contractor name
Mobile phone number used to receive Bella Trio team text messages
Work email address used to receive team announcements
Work role, location, and team assignment, used to route the right messages to the right staff
Communications metadata associated with team messages, such as the time a message was sent or delivered, whether it was opened, and whether the recipient confirmed receipt or RSVP
Opt-in records, including the date of consent, the form of consent (voluntary written opt-in via the Bella Trio team SMS opt-in form), and any later opt-out request
Bella Trio does not collect customer or client mobile numbers through this program. This program is for staff internal communications only.
3. How We Use Information
Bella Trio uses the information described above only for internal team communications, including:
Sending policy and procedure updates and confirm-receipt requests
Sending class, training, and event invitations and RSVP links
Sending scheduling reminders and leadership recaps
Maintaining accurate opt-in and opt-out records for compliance
Responding to STOP, HELP, and other staff support requests
Bella Trio does not use this information for marketing or promotional outreach.
4. Sharing of Mobile Information (A2P Disclosure)
Mobile information will not be shared with third parties or affiliates for marketing or promotional purposes. Information sharing to subcontractors, including but not limited to text messaging originators, supports our internal team communications services. Text messaging originator opt-in data and consent information will not be shared with any third parties.
The subcontractors referenced above are limited to the SMS delivery provider and team communications platform that Bella Trio uses to operate the program on its behalf. These subcontractors process mobile numbers solely to deliver Bella Trio's internal team messages and are bound by written agreements to protect that information.
5. Data Retention
Bella Trio retains SMS metadata (delivery logs, opt-in and opt-out records, and message receipts) for a standard period of ninety (90) days from the date of the message, except where a longer retention period is required to comply with law, to defend a legal claim, or to maintain a current employee's active opt-in record. Signed opt-in consents are retained for the duration of the employee's employment plus four (4) years to satisfy federal record keeping expectations for written consent.
6. Your Rights
Staff members have the right to:
Access the personal information Bella Trio holds about them in connection with this program
Correct inaccurate information, including updating a mobile number on file
Withdraw consent at any time by replying STOP to any Bella Trio team text message, or by contacting Bella Trio leadership in writing
Request deletion of personal information that Bella Trio is no longer required to retain
Opting out of text messages will not affect employment, pay, benefits, or standing with Bella Trio.
7. Security
Bella Trio uses reasonable administrative, technical, and physical safeguards to protect personal information against unauthorized access, alteration, or disclosure. Access to the communications system is limited to authorized Bella Trio leadership and the subcontractors described in Section 4.
8. Children's Privacy
This program is intended only for Bella Trio staff who are at least eighteen (18) years of age. Bella Trio does not knowingly collect personal information from minors through this program.
9. Changes to this Policy
Bella Trio may update this Privacy Policy from time to time. The effective date at the top of this page will be updated whenever changes are made. Material changes will also be communicated to staff through the team communications channel.
